1. About These Terms

These terms govern your use of CPD Bee (cpdbee.co.uk), a CPD tracking service operated by Hearing Therapy Ltd (Company No. 12098086, "we", "us", "our"). By creating an account, you agree to these terms.

2. The Service

CPD Bee is a web application that helps healthcare professionals record, manage, and export continuing professional development activities. The service includes:

• Voice-powered and document-based CPD record creation using AI
• CPD course discovery from professional body websites
• Revalidation and audit readiness tracking for GMC, HCPC, and NMC
• Portfolio export in PDF, Word, and Excel formats
• Enterprise team management features

3. Your Account

• You must provide accurate registration information including your name, email, profession, and regulatory body
• You are responsible for maintaining the security of your account credentials
• You must not share your account with others or allow unauthorised access
• You must be a healthcare professional or healthcare student to use the service
• You must be at least 18 years old

4. Free Trial

• New accounts receive a 28-day free trial with full access to all features
• A valid payment method is required to start the trial. No charge is taken during the 28-day trial period
• At the end of the trial, your subscription will start automatically at £4.99 per month (Professional plan) unless you cancel
• We send a reminder email three days before your trial ends so you have time to decide
• You may cancel at any time before the trial ends from your Account page — no charge will be taken if you cancel during the trial
• Existing accounts created before our trial-with-card-on-file flow began continue on their original no-card trial until it expires

5. Subscriptions and Payments

• Professional plan: £4.99/month
• Enterprise plan: £29.99/month (up to 8 team members)
• NHS/Education/Corporate: custom pricing by agreement
• Payments are processed securely by Stripe. We do not store your payment card details
• Subscriptions renew automatically each month unless cancelled
• You may cancel at any time. Access continues until the end of the current billing period
• No refunds are provided for partial months

6. Your Data

• You retain full ownership of all CPD records and content you create
• We do not claim any intellectual property rights over your content
• Sensitive record fields (descriptions, reflections, patient benefit statements) are encrypted with AES-256-GCM using per-user encryption keys
• You can export all your data at any time using the Export feature
• You can delete your account and all associated data at any time from the Account tab

7. AI Processing

• CPD Bee uses AI (Anthropic Claude) to structure CPD records from voice transcripts and uploaded documents
• AI-generated content is always presented for your review before saving
• You are responsible for reviewing and editing AI-generated content for accuracy
• AI suggestions are aids to record-keeping, not clinical advice
• Transcripts and document content are sent to the AI service via an authenticated server-side proxy. Anthropic does not use API inputs for model training

8. Acceptable Use

You must not:

• Include patient-identifiable information in your CPD records
• Use the service for any unlawful purpose
• Attempt to access other users' accounts or data
• Interfere with the security or integrity of the service
• Use automated tools to scrape, crawl, or extract data from the service
• Resell or redistribute the service without our written permission

10. Availability and Support

• We aim to maintain 99.9% service availability but do not guarantee uninterrupted access
• Scheduled maintenance is performed during low-usage periods with advance notice where possible
• Technical support is available via info@cpdbee.co.uk
• We are not liable for any loss of data caused by circumstances beyond our reasonable control

11. Intellectual Property

• CPD Bee, its design, code, and branding are the property of Hearing Therapy Ltd
• The CPD Bee name, logo, and bee character are trademarks of Hearing Therapy Ltd
• You may not copy, modify, or distribute any part of the service without written permission

12. Limitation of Liability

• The service is provided "as is" without warranties of any kind, express or implied
• To the maximum extent permitted by law, our total liability for any claim arising from your use of the service is limited to the amount you paid us in the 12 months preceding the claim
• We are not liable for indirect, incidental, or consequential damages
• Nothing in these terms excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law

13. Changes to These Terms

• We may update these terms to reflect changes in our service or legal requirements
• Material changes will be communicated via email or in-app notification
• Continued use of the service after changes constitutes acceptance
• If you disagree with changes, you may cancel your account

14. Termination

• You may cancel your account at any time
• We may suspend or terminate your account if you breach these terms
• On termination, your data is deleted in accordance with our Privacy Policy
• Sections 6 (Your Data), 9 (Healthcare Disclaimer), and 12 (Limitation of Liability) survive termination

15. Governing Law

These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
