Understanding how CPD Bee uses artificial intelligence and your responsibilities as a healthcare professional

IMPORTANT: CPD Bee is a CPD record-keeping tool that uses AI to help you document your professional development. Every AI-generated record is a draft. You are responsible for reviewing, editing, and ensuring that the final record accurately reflects your own understanding, learning, and professional development before marking it as complete.
How CPD Bee Uses AI
CPD Bee uses artificial intelligence in four ways:
- Voice-to-Record โ When you speak about a CPD activity, AI transcribes your speech (with 4,000+ medical phonetic corrections) and structures it into a CPD record with title, activity type, duration, description, reflection, and impact on practice.
- Document Import โ When you upload a certificate, course summary, or clinical document, AI reads the content and generates a structured CPD record from it.
- Camera Scanner โ When you photograph a document with your phone camera, AI vision reads the image and generates a CPD record. The scanned image is stored privately as evidence alongside your record.
- Course Discovery โ When you search for CPD courses, AI searches professional body websites and extracts structured course information. The "Fill My Gaps" feature analyses your existing records and learning notes to suggest courses that address gaps in your portfolio.
In all four cases, the AI generates a draft record that is presented to you for review before saving. You always have the opportunity to edit, correct, or discard the AI's output.
What AI-Generated Records Are
AI-generated CPD records are starting points โ drafts created from what you said, uploaded, or photographed. They are designed to save you time by providing a structured framework that you refine into your own words.
Your CPD portfolio is a professional document that may be reviewed by your appraiser, responsible officer, or regulatory body during revalidation or audit. The description, reflection, and impact on practice in every record must be YOUR words, reflecting YOUR genuine understanding of what you learned and how it benefits your practice and your patients.
AI can suggest a reflection, but only you know what you truly took away from the experience. AI can describe the impact on practice, but only you know how your practice has actually changed. Review every field. Edit anything that does not accurately represent your learning. Delete anything you do not agree with or understand.
What AI Does NOT Do
CPD Bee's AI does not:
- Provide clinical advice or medical guidance โ CPD Bee is a record-keeping tool, not a clinical decision support system.
- Guarantee accuracy โ AI may misinterpret your speech, misread a document, or generate content that does not accurately reflect what happened. Always verify.
- Replace your professional judgment โ The AI has no knowledge of your actual clinical practice, your patients, or your specific learning context. It generates plausible content based on what you provide.
- Submit records on your behalf โ You choose when to save, when to mark a record as complete, and when to include it in your portfolio.
- Know what you actually learned โ The AI can structure your words, but it cannot know whether you genuinely understood the training, whether it changed your practice, or whether the reflection is authentic. Only you know that.
AI Limitations You Should Be Aware Of
Voice transcription may:
- Mishear similar-sounding medical terms despite 4,000+ phonetic corrections
- Struggle with strong accents, background noise, or unclear speech
- Miss words during brief connection interruptions (especially on Edge browser)
Document and camera scanning may:
- Misread text from low-quality images, poor lighting, or unusual fonts
- Miss information in margins, footers, or watermarked areas
- Misinterpret the purpose or context of a document
Record generation may:
- Generate plausible-sounding reflections that do not match your actual experience
- Suggest impacts on practice that are generic rather than specific to your situation
- Occasionally hallucinate details not present in the original transcript or document
- Use terminology that is technically correct but does not reflect how you would express yourself
Your Professional Responsibilities
As a registered healthcare professional, you are responsible for the accuracy and authenticity of your CPD portfolio.
Before marking any record as complete:
- Review every field โ title, description, reflection, and impact on practice.
- Edit the description to accurately reflect what the activity covered and what you learned from it.
- Rewrite the reflection in your own words. Your appraiser or regulator wants to understand YOUR thinking, not an AI's approximation of it. A genuine two-sentence reflection that captures what you actually took away is more valuable than three paragraphs of polished AI text that doesn't represent your experience.
- Verify the impact on practice. Has this training actually changed how you work? If so, describe the specific change. If not yet, say so honestly โ "I intend to apply this by..." is more authentic than a fabricated claim of immediate practice change.
- Check factual details โ dates, durations, providers, and credit values against your original certificate or documentation.
- Delete or rewrite anything you do not agree with or that does not sound like you.
Records Are Saved as Drafts by Default
When you save an AI-generated record, it is saved with a status of "Draft". This is deliberate. A draft record is your working copy โ it is included in your portfolio but flagged as incomplete.
When you are satisfied that the record accurately represents your learning, you can mark it as "Complete". Complete records contribute to your audit readiness and revalidation progress scores.
We encourage you to review draft records within a few days of creating them, while the learning experience is still fresh in your memory. The closer the review is to the event, the more authentic your reflection will be.
Data Processing and Privacy
When you use AI features:
- Voice transcripts are sent to Anthropic's Claude AI via an authenticated server-side proxy for processing. Anthropic does not use API inputs for model training.
- Document text and scanned images are sent to the same authenticated proxy. No document content is stored by the AI service.
- Your CPD records are stored in Supabase (EU-hosted). Sensitive fields (description, reflection, impact on practice) are encrypted with AES-256-GCM using a unique key for each user.
- Audio recordings are processed by your browser's built-in speech engine (Google for Chrome, Microsoft for Edge). CPD Bee does not store audio.

Professional Body Requirements
Your use of CPD Bee should comply with:
- Your regulatory body's CPD requirements (GMC, NMC, HCPC, or AHCS)
- Your employer's policies on AI use in professional documentation, if applicable
- Your professional indemnity insurance requirements
If your regulatory body has specific guidance on the use of AI in CPD documentation, follow their guidance. CPD Bee is designed to assist your record-keeping, not to replace the professional reflection that regulators require.
